Privacy Policy
Effective date: September 20, 2026
RouteMyBin ("we," "us," or "our") provides collection information and resident services for participating cities. This policy explains how we handle information through routemybin.com, our resident mobile applications, and our city administration portal.
Available features depend on your city's configuration. City departments may also maintain records under their own privacy notices and applicable public-records and retention requirements.
Information we collect
- Addresses and service areas: the address you select or provide, its stored coordinates when available, and associated zones and routes. We use these to show relevant schedules, locations, programs, and updates. Distance calculations use address and location coordinates; selecting an address does not require continuous device-location tracking.
- Contact information and bookings: names, email addresses, telephone numbers, appointment dates, selected items and quantities, service locations, booking status, and payment references and status.
- Notification preferences: chosen channels and categories, reminder times, language, consent and confirmation records, device push tokens, and delivery status or error information available from providers.
- Reports and support: issue selections, comments, contact details, and associated service-area information you provide when requesting assistance.
- Searches, learning, and games: material search terms and selections, image-identification results, quiz and sorting-game answers, scores, and associated address, zone, route, language, and app or web identifiers when available.
- Administration and technical information: administrator account and permission information, sign-in and security records, administrative revision history, IP addresses and request information used for security, diagnostics, and abuse prevention.
Camera and AI material identification
If enabled by your city and you choose to use it, the camera feature sends a resized photo to our server and Google's Gemini service to identify materials against the city's catalog. RouteMyBin does not persist the uploaded photo in its application database or image cache. We retain the returned item names, catalog matches or unmatched results, and available address, zone, route, and language context for service improvement and audit. Google's processing is subject to its applicable service terms and privacy practices. Avoid including faces, documents, or other sensitive information in photos.
How we use information
We use information to provide localized collection schedules and disposal guidance; manage bookings and payments; deliver selected reminders and city updates; respond to service issues; improve educational content and material matching; produce city reports; and protect, troubleshoot, and maintain the service. Authorized city administrators and staff can access information relevant to their assigned duties.
SMS, email, phone, and push notifications
For SMS, enter your service address and phone number, select the updates you want, and check the separate SMS consent box, which starts unchecked. The address identifies your collection routes and relevant city updates. The public SMS signup form displays the phone field and consent language before address selection; an address is required to finish setup. We record your selections and consent, send a verification link, and activate recurring messages after you confirm. We then send a subscription confirmation.
You choose whether to subscribe and which available categories to receive, such as collection reminders, city announcements, and educational updates. Email and SMS subscriptions require confirmation; phone-call subscriptions currently use an SMS verification link. App push notifications use your device's notification permission and in-app preferences.
Message frequency varies with your schedule and selected updates. Message and data rates may apply to SMS. The management link lets you change your address while retaining your selected reminders, or stop selected categories or the subscription. Announcement and Learn+ SMS messages contain a short notice and a link rather than the full article. Links may use rmb1.io, our branded redirect to routemybin.com; link tokens should be treated as private. You may also reply STOP to opt out of SMS and HELP for assistance. Contact us at support@routemybin.com if you need help. App push preferences can be changed within the app or through your device settings. Opting out of one channel does not necessarily cancel separate subscriptions on other channels.
We do not sell or share mobile telephone numbers or SMS opt-in and consent information with third parties or affiliates for marketing or promotional purposes. We do not provide SMS consent to others for unrelated uses. Messaging platform vendors, carriers and other delivery providers may process the information solely to support your messaging service. These restrictions also apply to the sharing categories below; they do not authorize disclosure of SMS consent for unrelated purposes. Legally required disclosures are handled as required by applicable law. Notification consent is not a condition of purchasing a service.
When information is shared
We do not sell personal information or share it for third-party advertising. We disclose information necessary to provide the service to:
- Participating cities and their authorized service personnel, for relevant collection services, bookings, issue resolution, and reporting.
- Infrastructure and service providers, including Microsoft Azure and Cloudflare for hosting, databases, public content delivery, address lookup and search-event processing; configured providers such as Telnyx, Twilio, SendGrid, or SMTP services for communications; and Google Firebase and Apple services for push delivery.
- Stripe for payments. Payment details are entered through Stripe's payment interfaces; our application stores payment references, amounts, and status rather than full card numbers or card security codes.
- Google Gemini for requested AI identification and configured translation features. Embedded YouTube videos and external map links may send information to the respective provider when loaded or opened and are subject to that provider's privacy policy.
We may also disclose information when required by law or lawful process, or as necessary to protect the rights and security of residents, cities, and the service. Providers may process information in countries other than your country of residence.
Cookies and local device storage
We use session cookies for administrator authentication and browser or app storage to remember your selected address, language, preferences, navigation state, and cached service data. Mobile secure storage holds certain device and booking credentials. Clearing browser data or uninstalling the app may remove local information but does not automatically delete server records or cancel subscriptions. Third-party embedded content may use its own storage technologies.
Service data and search analytics
Public catalogs, localized service information and calendar rules are distributed through Cloudflare R2. Address lookup uses a Cloudflare D1 copy of city-managed address assignments, with a backend fallback. Material-search events can be captured in D1 and synchronized into the reporting database. They include the search, selected material, language and available address/route/zone context. Acknowledged D1 search events are eligible for deletion after 90 days; pending events remain until synchronized. This does not automatically remove reporting, audit or backup records. Game questions are generated locally from the catalog; submitted answers and scores are validated and recorded by our backend.
Retention and security
We retain information as needed to operate the service, maintain bookings and consent records, support city requirements, resolve disputes, and meet applicable legal obligations. Retention varies by record type; deleting local cached data does not remove historical audit or backup records. We use access controls, encrypted connections, protected credentials, and other safeguards. No method of transmission or storage is completely secure.
Your choices and requests
You can update supported preferences and reminder addresses through the app or your reminder management link. To request access, correction, or deletion of personal information, contact support@routemybin.com. We may need to verify your identity and coordinate with the relevant city. Rights and exceptions depend on applicable law, including requirements to retain municipal, transaction, or security records. Please do not email payment-card details, passwords, or verification links.
Children's privacy
Educational content may be viewed by families. The service is not intended to collect personal information from children under 13 without appropriate authorization. A parent or guardian should manage subscriptions and bookings for a child. Contact us if you believe a child has provided personal information so we can investigate and take appropriate action.
Changes to this policy
We may update this policy as features or practices change. We will update the effective date and provide additional notice where required.
